A cropped picture still contains everything you cropped
You pasted a screenshot into a report and cropped it down to hide the column next to it. On screen that column is gone. Inside the file it is still there — complete, at full resolution, one drag of a handle away.
What cropping actually does
When you crop a picture in Word, Excel or PowerPoint, Office does not touch the picture. It stores the original image in the file exactly as you inserted it, and writes four numbers next to it saying how much to trim off each side when drawing it. Those four numbers are the crop.
The consequence is simple: the recipient gets the whole picture. They do not need a special tool or any technical knowledge. They click the picture, choose Crop, drag a handle outwards, and whatever you cropped away reappears. OpenDocument files work the same way, with the crop recorded on the picture's style instead.
How to check a picture you've already cropped
Open the document, click the picture, and on the Picture Format tab choose Crop. Drag a handle outward. If more of the image appears, that part is stored in the file and travels with it.
Worth knowing: Word's Document Inspector does not report this. It checks document properties, comments, hidden text and similar, and says nothing about pictures that carry more than they show — so a file can pass the inspector and still hand over the cropped-away half.
How to remove the cropped areas for good
- Select the picture in Word, Excel or PowerPoint.
- On the
Picture Formattab, clickCompress Pictures. - Tick Delete cropped areas of pictures.
- Choose whether it applies to this picture only or to every picture in the file, then click OK.
- Save. The cropped-away pixels are gone from the saved copy.
In LibreOffice the equivalent is right-clicking the picture and choosing Compress. Either way the picture is re-encoded, so it is worth doing this on the copy you are about to send rather than on the master you keep editing.
A faster check, without uploading the file
The file is usually sensitive — that is why you cropped in the first place — so uploading it to an online tool to find out is backwards. Does cropping delete the cropped part?
No. It only changes how much of the picture is drawn. The whole original stays in the file, and dragging the crop handles back out reveals it. Deleting it takes Compress Pictures with "Delete cropped areas of pictures" ticked.
Does saving as PDF get rid of it?
Usually yes for the crop itself — a PDF export draws only the visible part. But it is not a guarantee across every exporter and version, and a PDF brings its own hidden content, from earlier revisions to annotations. Check the export rather than assume.
Why doesn't the Document Inspector catch this?
It was built to check document properties, comments, hidden text, ink and similar — not what pictures carry beyond their visible area. A file can pass the inspector with the cropped-away half fully intact.
